Real Estate Tip #4 - Tracking Leads with Post-It Notes or a Proper CRM?

Updated: Feb 24, 2023

Are white index cards or Post-It notes with scribble better than an advanced CRM (Customer Relationship Management) software that can query 100's of "West of Trail buyers" leads within seconds?

You might laugh at the question, but I have seen successful agents use both methods.

As you might guess, the old school Realtors tend to use the white index cards with scribble while the newer and "more techie" agents use a fancy CRM software.

As a realtor, consistently staying in touch with your database is essential for long-term success. This is where a "fancy" CRM system comes in. It helps you you manage your interactions with clients and organize your lead database.

Do you want to be an agent grossing $50k a year? or $500k? The benefits of using a CRM:

  1. Better client management: You can store all your client information in one place, including their contact information, buying preferences, and communication history. This makes it easier to track the progress of each client, set reminders for follow-up tasks, and ensure that you are providing a personalized service.

  2. Streamlined communication: A CRM system allows you to send personalized emails to clients and track their responses. This can help you tailor your communication based on the interests and needs of each client, improving your chances of them calling you when it comes time to buy or sell.

  3. Improved organization: With a CRM system, you can manage your leads more efficiently by organizing them into categories based on their level of interest, locations they are considering (downtown Sarasota, Lakewood Ranch, Longboat Key, Siesta Key) or stage in the buying process. This helps you prioritize your time and resources, ensuring that you focus on the most promising leads.

  4. Better sales tracking: What is your conversion rate? How many leads did you get last year? What is your average and median sales price? What is your average commission? What was your GCI last year? You can't improve what you don't measure. If you can't answer these questions then you may need a CRM.

  5. Enhanced collaboration and accountability: A CRM system can be shared with your team, manager or nosey spouse. Whether you like it or now, accountable agents make more money in the long run.

At Corcoran Dwellings, we don't leave lead tracking to chance. We are very proactive in generating prospects for agents in our lead program. Agents in our lead program cumulatively sell anywhere from $50m to $100m in real estate annually, depending on the strength of the real estate market. We provide all of our agents the CRM - Follow Up Boss (FUB) for free. Here are all of the amazing benefits.

A CRM system is an invaluable tool for realtors who want to build stronger client relationships, streamline their communication, and track their sales performance. By using a CRM system you can be more organized, improve your collaboration with team members, and ultimately help you grow your business.
